We are seeking to appoint a dedicated individual to join our team as Clerk to the Governing Body. This is a unique opportunity to play a vital role in supporting the school’s governance and contributing to the success of our pupils.

 

Clifton Primary School is situated in the heart of Southall. Our school has been at the centre of the local community for over 100 years and we pride ourselves on firmly holding the pupils’ best interests at the heart of everything we do.

 

Clifton is a culturally diverse two-form entry school with over 400 pupils on roll from Nursery to Year 6. We foster a love of learning and through our carefully planned curriculum, extra-curricular clubs and additional school opportunities support pupils to ‘Aspire to Achieve.’

 

Responsibilities

As the Clerk to the Governing Body, you will be responsible for providing high-quality administrative support to the governing body. Your key responsibilities will include:

 

  • *Organising and attending governing body meetings, taking accurate minutes, and ensuring timely distribution to relevant parties
  • *Maintaining accurate records of governing body membership, including terms of office, attendance, and relevant declarations.
  • *Providing guidance and advice to the governing body on procedural matters, constitutional issues, and legislation.
  • *Assisting in the preparation and distribution of meeting agendas, reports, and associated documents.
  • *Collaborating with the Chair of Governors and Headteacher to ensure effective communication and coordination between the governing body and school leadership.
  • *Ensuring compliance with statutory requirements and regulations, including data protection and confidentiality.


Governing Body Organisation

  • *We have a flat structure where all meetings are attended by the Full Governing Body.
  • *We have seven Full Governing Body meetings per year; x2 in Autumn, x2 in Spring and x3 in Summer.
  • *We have one pay panel meeting which is in the Autumn.
  • *Six of our GB Meetings and our Pay Panel meeting are on weekdays between 6.00pm – 7.30pm
  • *One of our GB Meetings is in the afternoon between 1.30pm – 3.00pm.
  • *Two of our GB Meetings are face to face. The rest are online via zoom. We are happy to consider a Clerk who will be joining remotely for all meetings.
  • *We use Governor Hub for all organisation and communication.
  • *Professional Development for Clerks, including network meetings are available via Ealing.

 

Clerk Expectations

 

  • *Prepare and circulate agenda and associated documents via Governor Hub – 2 hours
  • *Attending meeting – 2 hours (logging on earlier to welcome everyone and additional incase of run over)
  • *Typing up and circulate minutes – 2 hours (Draft minutes should be distributed to the CoG and HTs no more than two weeks after the meeting).
  • *Follow up actions – 1 hour.

 

There may be occasions where we need Clerk support for additional meetings, these could be during the school day or the evenings, we will give the Clerk as much notice as possible. The Ealing Grade 8 hourly rate will be paid.
